We're hiring a highly organized and detail-oriented Administrative Assistant/Customer Service Specialist. This dynamic, hybrid role requires exceptional communication and proficiency with CRM systems to handle essential client relations, membership administration, and crucial operational support.
What You'll Do:
Client & Membership Administration
• Manage all client accounts: process Upgrades, Downgrades, and Cancellations.
• Handle billing duties, including auto-recurring billing, failed payment follow-up via phone and email, and membership terms/conditions communication.
• Ensure CRM data accuracy by managing account access and maintaining the client database.
Customer Service & Communication
• Serve as the primary contact, managing all inbound calls (clients, customers, prospects, etc.) with professionalism, routing complex issues as needed.
• Manage and respond promptly to all digital inquiries: Website "Contact Us" form, Customer Service Emails (info@ inbox), and website Chats.
• Resolve common client issues directly (Website Troubleshooting, Credit Card updates, Account Access).
• Log all correspondence accurately in the company CRM.
Operations, SOPs, & Marketing Support
• SOP Management: Create, update, and manage all Customer Service Standard Operating Procedures (SOPs) within the Company Database (SharePoint).
• Marketing Support: Provide general administrative support, maintain the marketing calendar, and manage the posting of approved content on company social media platforms (including tracking performance metrics).
• Assist with other operational tasks, such as uploading seminar lists into the CRM.

What We're Looking For:
• Experience: Proven experience in a sales, customer service, or administrative role.
• Technical Skills: Proficient with Microsoft Office (especially spreadsheets).
• Communication: Exceptional verbal and written communication; comfortable quoting prices over the phone.
• Work Environment: Highly organized and effective working independently in a virtual/remote setting.
