The Accounts Payable Manager will oversee the preparation and processing of all expenditure transactions and ensures all transactions are processed in accordance with the regulations, policies, and established procedures.
Additionally, the AP Manager will develop systems to maintain the reconciliation of accounts payable records and transactions with vendor statements to ensure accuracy of disbursements while assisting with encumbrance management. In collaboration with department colleagues will arrive at solutions to achieve operational efficiency in all accounts payable processes.
Duties and Responsibilities
• Review all AP invoices for coding accuracy, ensure all receiving paperwork, check pricing and appropriate support is attached for payment
• Resolve AP discrepancies
• Responsible for the AP accruals
• Prepare reports as needed
• Perform other accounting/office related duties as assigned
• Review statements to ensure that there are no outstanding invoices that we have not received or are unresolved
• Facilitate communication between AP teams and Accounting teams to work collaboratively on issues affecting their account(s).
• Create, train and implement new processes across the AP team.
Qualifications
• Previous experience in AP preferred, but not required.
• Proficient knowledge of Microsoft Tools and other applications: Ability to leverage Excel and other MS programs, including Outlook, Skype, etc.
• Knowledge of Internet and usage of website.
Knowledge
• Administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
• The structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
• Economic and accounting principles and practices, the financial markets, banking and the analysis and reporting of financial data.
Abilities
• Fluent English and Spanish is required.
• Effective analytical and problem-solving capabilities.
• Ability to envision and implement new concepts/strategies.
• Advanced organizational and time management skills, able to handle multiple projects/tasks at once.
• To apply general rules to specific problems to produce answers that makes sense.
• To concentrate on a task over a period of time without being distracted.
• Team leading skills.
