?? Reports to: Country Director / Senior Executive
Position Summary
The Executive Assistant provides high-level administrative and operational support to a senior executive, ensuring effective coordination of activities across business units and geographies.
This role is critical to enabling executive effectiveness through proactive agenda management, communication support, and coordination of strategic and operational activities in a dynamic, multicultural environment.
Key Responsibilities
Manage and coordinate the executive’s agenda, including meetings across multiple time zones.
Act as a key liaison between the executive and internal and external stakeholders.
Support coordination across different business units and functional areas.
Organize and coordinate internal and external events (leadership meetings, workshops, executive visits, employee engagement initiatives).
Prepare, review, and translate documents, presentations, and communications (Spanish ? English).
Coordinate domestic and international travel logistics (flights, accommodations, itineraries, transportation).
Manage reservations (meeting rooms, venues, restaurants, transportation, etc.).
Prepare meeting agendas and materials, and track follow-up actions.
Handle confidential and sensitive information with the highest level of discretion.
Support expense management and administrative processes.
Ensure smooth day-to-day operations and proactively anticipate executive needs.
Qualifications & Experience
Bachelor’s degree in Business Administration, Languages, International Business, or a related field.
Minimum 5 years of experience supporting senior executives or C-level leaders.
Experience in multinational or complex organizational environments is highly desirable.
Fluency in English and Spanish is mandatory.
