Provide bilingual (Spanish-English) administrative support to team leaders, ensuring the effective execution of key operational tasks such as expense management, travel coordination, presentation development, and logistical support for events and training sessions.
Key Responsibilities:
Expense Management:
Create and update expense reports in Oracle for approximately 30 team members.
Organize receipts and ensure weekly submission of reports.
Presentation Development:
Design and update slides using WSP corporate templates.
Follow detailed instructions for each presentation.
Administrative Requests:
Manage orders for PPE (Personal Protective Equipment) and team recognition gifts.
Coordinate deliveries and track requests.
Travel Coordination:
Plan and book travel for team leaders using the Neo platform.
Ensure travel preferences and policies are respected.
Training Follow-Up:
Monitor compliance with mandatory training requirements.
Send reminders and provide support during the registration process.
Event Coordination:
Support the organization of internal events in collaboration with the administrative team.
Manage logistics, materials, and pre-/post-event communication.
Handle deliveries and follow up on requests.
