COORDINATOR, ASSET AND FLEET management
The Asset and Fleet Management team, within the Project Delivery Excellence (PDE) function at WSP Canada, is seeking a Coordinator to support day-to-day operations, reporting, systems administration, and continuous improvement initiatives. This role will assist the Deputy Vice President, Fleet Managers, and Asset Management Director with activities related to fleet, equipment, vessels, telematics, SharePoint content management, process documentation, data analysis, and stakeholder coordination.
We are looking for a proactive, detail-oriented self-starter who is comfortable working with data, systems, and cross-functional teams, and who is willing to learn the operational and regulatory requirements needed to help ensure WSP remains compliant with applicable internal standards and Transport Canada requirements.
RESPONSIBILITIES
Reporting
Build, maintain, and enhance Power BI dashboards and reports for the team’s SharePoint site related to fleet, telematics, vessels, equipment, utilization, compliance, safety, and financial performance.
Prepare operational, financial, and compliance reports related to assigned areas of responsibility.
Collect, validate, reconcile, and analyse data from internal systems, telematics platforms, vendor portals, and fleet or asset management tools.
System Maintenance and Support
Ensure telematics devices are activated, assigned, monitored, and functioning across vehicles in Canada.
Support troubleshooting, ticket follow-up, user support, and vendor coordination for systems such as Geotab, Asset Infinity, ESIS, SharePoint, and other fleet or asset management platforms.
SharePoint, Process Documentation and Communications
Build, organize, and maintain the Asset and Fleet Management SharePoint site, including libraries, pages, trackers, templates, procedures, training materials, and reference documents.
Draft, update, format, and maintain policies, standard operating procedures, process maps, quick reference guides, and communications for internal stakeholders.
Prepare clear communications, meeting materials, presentations, and follow-up summaries to support team initiatives and stakeholder engagement.
Equipment Management System Integration
Support ESIS migration tasks, including document review, data preparation, validation, and manual processing when a technical solution is not available.
Support Power BI, Asset Infinity, and other compliance reporting requirements, including report programming, testing, distribution, and follow-up when required.
Contribute to Asset Infinity data governance, data cleansing, record standardization, quality control, and ongoing maintenance.
Coordinate with HSSEQ and operational teams to obtain, organize, and maintain equipment safety documentation and related compliance records.
Other
Assist the team with ad hoc requests, special projects, meeting coordination, action item tracking, document preparation, data collection, and other operational support needs.
Education & Experience
College diploma or equivalent related experience in business administration, data analysis, fleet management, asset management, logistics, operations, or a related field.
5 - 7 years of experience supporting fleet, asset management, logistics, operations, reporting, compliance, or system administration activities.
Experience working with internal stakeholders, vendors, data systems, process documentation, and operational reporting is considered an asset.
Technical Skills
Proficient in Microsoft Excel, Power BI, SharePoint, PowerPoint, and other Microsoft 365 tools.
Experience building or maintaining SharePoint sites, document libraries, lists, trackers, pages, and structured content repositories.
Preferred experience using telematics, fleet management, asset management, or equipment management platforms, including data exports and report generation.
Ability to work with large datasets, validate information, identify errors, and present findings clearly.
Strong analytical skills with attention to accuracy, detail, documentation quality, and data integrity.
Soft Skills
Ability to translate data, process requirements, and operational information into clear recommendations and practical actions.
Highly organized, proactive, resourceful, and able to manage multiple priorities.
Collaborative approach with the ability to work effectively with regional teams, corporate functions, vendors, and leadership stakeholders.
Bilingualism in English and French is preferred; strong English communication skills are required.
